This position reports directly to the Owner and plays a key role in supporting both our clients and internal team. The Receptionist Administrative Assistant serves as the first point of contact for clients, providing a welcoming and professional experience whether in person, over the phone, or via email.
Day-to-day responsibilities include managing clerical and administrative tasks, coordinating client communications, maintaining organized records, and ensuring smooth office operations. The ideal candidate is personable, detail-oriented, and thrives in a client-focused environment where organization and communication are essential.

Greet and welcome clients/guests in a professional and friendly manner
Answer and direct phone calls, take messages, and provide information to callers
Scheduling, rescheduling, and confirming client appointments for multiple staff
Invoicing clients and collection of payments using applicable software
Collating and packaging tax returns
Review tax return outcomes with clients by phone or in person
Perform general clerical duties including making copies, scanning, emailing, faxing, mailing, and filing documents both manually and digitally
Training seasonal employees
Provide administrative support to staff members as needed
Monitoring supply stock and ordering replacements
Perform other office tasks such as stocking coffee station and housekeeping at the end of the day to include vacuuming, taking garbage out, and making sure the kitchen area is tidy
Navigating our portal system and assisting clients with access
Must be a people person
Must be customer service focused
High school diploma or equivalency
Minimum of 2 years of experience in office administration or reception
Requires industry-specific experience in professional services (accounting, finance, legal, tax).
Healthcare billing/coding does not align with the required industry experience.
Familiarity with standard office management procedures
Proficient in using phone systems and handling multiple phone lines
Must be proficient in invoicing and receiving payments
Must be proficient in Microsoft Office
Excellent written and verbal communication skills
Strong attention to detail and organizational skills
Pay: $45,000 - $50,000 Annually

Schedule:
Outside of Tax Season: Monday – Friday, 8:30 a.m. – 4:30 p.m.
During Tax Season: Monday – Friday, 8:00 a.m. – 4:00 p.m.
