As a Maintenance Coordinator, you will be responsible for coordinating maintenance logistics to ensure every guest arrives at a well-maintained, guest-ready property. This role is primarily desk-based and involves problem-solving with guests over phone, text, and email, dispatching contractors, managing work orders, and following issues through to resolution.
You will act as the primary maintenance contact for an assigned area of approximately 80 properties, working closely with the home office team, vendors, and occasionally visiting properties for quality control inspections.
Maintenance Coordination & Issue Resolution
Serve as the primary maintenance point of contact for an assigned property area
Troubleshoot maintenance issues with guests via phone, text, email, and platform messaging
Create, prioritize, manage, and close maintenance work orders with a focus on safety and guest experience
Vendor & Contractor Management
Obtain quotes and coordinate contractors and service providers
Follow up with vendors, contractors, and property owners as needed
Build and maintain strong working relationships with local vendors
Documentation & Financial Tracking
Document work orders clearly with detailed notes, dates, and times
Track completed invoices for Accounts Payable and ensure work orders are closed accurately
Property Oversight & Team Collaboration
Coordinate a wide range of services (plumbing, HVAC, electrical, appliances, landscaping, snow removal, pest control, seasonal openings/closings)
Perform lay-person property inspections and communicate findings with the cleaning coordinator
Work cross-departmentally with maintenance, guest services, and owner services teams
Valid driver’s license and ability to travel both locally, and across the State of Michigan, using a company vehicle, with about 2-6 overnight stays/year.
Strong verbal communication and problem-solving skills
Ability to prioritize work orders based on safety and guest needs
Lives in Michigan or a bordering state
Homeownership experience preferred (past or present)
Quick learner with above-average computer skills
Excellent written communication and documentation skills
Ability to work in an ever-changing environment while maintaining high service standards
Basic handyman knowledge or the ability to guide guests using research tools (Google, YouTube, TikTok)
Rate: $18–$22/hour

RESPONSIBILITIES:
● Be the PRIMARY MAINTENANCE VOICE for an assigned area. (Approx. 80 properties.)
● Problem-solve with guests at the property (phone, text, email, Airbnb thread w support of home-office team) as issues arise and dispatch the appropriate contractor.
● Managing Maintenance Work Orders (with the support of the main office)
○ Open area work orders, as necessary.
○ Prioritize with safety & guest experience
○ Actively receive quotes for area work orders.
○ Contract the appropriate maintenance provider in the necessary area.
○ Follow-up with local handymen, contractors, and at times property owners (with the support of the home office team, as needed.)
○ Write clear notes with time/date in the maintenance work orders.
○ Organize coordinated service (varies per property)
■ Appliance, electrical, heating/cooling, hot tub/pool/sauna, plumbing repair,
■ Landscaping, Beach/Shoreline Clean, Docks, Fall/Spring clean-up, Garbage Removal, Grass cutting, irrigation/sprinkler, snow plowing-shoveling
■ Cable/Wi-Fi
■ Handyman, off-season property check, water softener/filters
■ Propane/oil- home heat, septic tank service, wood restock
■ Pest control
■ Season opening/closing, window/power-washing
○ Track completed invoices to be paid by Accounts Payable (main office)
○ Close work orders as the repair/issues have been completed.
● Perform lay-person property inspections to maintain quality control and communicate with the Freshwater cleaner coordinator.
● Work cross-departmentally with maintenance, guest and owner services teams to ensure all issues that may and do arise while guests stay with us are prioritized and handled to their satisfaction.
* Develop working relationships with vendors.
Driver's License. Ability to drive to drive to properties (with company car) to inspect or complete basic maintenance tasks.
