The Executive Assistant supports the CEO with administrative, operational, and project coordination tasks, including managing calendars, scheduling and preparing for meetings, coordinating travel, managing communications, and assisting with special projects as needed.
This role serves as a key support partner to the CEO and interacts regularly with employees, clients, vendors, and community partners while maintaining a high level of professionalism, organization, and confidentiality.
The scope of the position includes providing administrative and operational support for Bennett Law Center and The Reggae Visa Lawyer.
Manage and maintain the CEO's complex calendar, including meetings, court appearances, speaking engagements, travel, and personal appointments.
Coordinate meeting logistics, prepare agendas, take notes, and distribute follow-up action items as requested.
Screen, prioritize, and manage incoming communications, including emails, phone calls, and correspondence.
Draft, edit, and distribute internal and external communications on behalf of the CEO.
Maintain confidential records and sensitive information with a high degree of discretion.
Anticipate executive needs and proactively resolve scheduling conflicts and administrative challenges.
Coordinate domestic and international travel arrangements, including flights, hotels, transportation, itineraries, and conference registrations.
Prepare detailed travel itineraries and supporting documentation.
Process travel-related expenses and coordinate reimbursement requests with Finance.
Support event and conference attendance logistics for the CEO and leadership team.
Manage special projects and initiatives assigned by the CEO.
Coordinate cross-departmental communications and follow up on action items.
Assist with the development and maintenance of internal systems, procedures, and operational documentation.
Maintain executive reference materials, contact lists, and organizational resources.
Coordinate job postings and recruitment efforts with external recruiting partners.
Schedule candidate interviews and assist with applicant communications.
Support onboarding and offboarding activities for employees.
Assist with employee handbook updates, policy implementation, and HR-related projects.
Maintain personnel and training records as assigned.
Support attorneys and staff with administrative and operational projects.
Prepare and distribute case review reports and operational reports.
Assist with maintaining data accuracy within case management systems.
Coordinate internal meetings, trainings, and firm-wide events.
Coordinate community outreach events, sponsorships, and networking opportunities.
Assist with website updates, employee biographies, headshots, and marketing materials.
Coordinate vendor relationships and event logistics.
Attend networking and community events as requested.
Assist with promotional activities and special events.
Assist with planning and execution of community festivals, educational events, client appreciation events, and firm-sponsored programs.
Coordinate vendors, sponsors, volunteers, event timelines, permits, and logistics.
Manage event documentation, communications, and follow-up activities.
High school diploma required.
3-5 years of executive administrative support experience is required
Experience supporting senior executives or business owners.
Exceptional organizational and time management skills.
Strong written and verbal communication skills.
Excellent attention to detail and follow-through.
Ability to manage multiple priorities and deadlines.
High level of professionalism, discretion, and confidentiality.
Proficiency with Microsoft Office, Google Workspace, and business communication tools.
Compensation: $1,500 - 2,000 per month
