Synergy Siteworks is entering an exciting phase of growth and is looking for a highly organized Construction Project Coordinator to become the operational backbone of our construction team. This role supports projects from pre-construction through closeout, ensuring every detail is organized, documented, and moving forward.
You'll work closely with company leadership, project teams, subcontractors, vendors, and clients to coordinate schedules, manage documentation, support project finances, and keep communication flowing across multiple active projects. While this position is primarily remote, you'll spend approximately one day each week traveling throughout Central Florida for project meetings, site visits, networking events, and team collaboration.
Create, organize, and maintain electronic project files and construction documentation.
Prepare project correspondence, reports, meeting agendas, and meeting minutes.
Manage project administration within Procore, including purchase orders, RFIs, submittals, drawings, tasks, and vendor documentation.
Process supplier invoices and assist with project financial tracking.
Coordinate material orders and monitor long-lead items to help keep projects on schedule.
Schedule vendors, subcontractors, inspections, and project meetings.
Track permits, licenses, inspections, and regulatory requirements.
Submit Notices to Owner (NTOs) and assist with compliance documentation.
Collect subcontractor invoices, pay applications, and lien waivers for management review.
Assist with owner, subcontractor, and vendor contract administration.
Coordinate project closeout documentation, warranties, manuals, and final deliverables.
Help develop scalable internal processes, workflows, and project checklists.
Support company marketing initiatives, vendor coordination, and networking events.
Assist with weekly OSHA toolbox talks and safety communications.
Contribute to a collaborative culture that reflects the company's values and commitment to exceptional client service.
Minimum 2-4 years of experience in construction administration, project coordination, or a similar role within the construction or site development industry.
Associate's or Bachelor's degree in Construction Management, Business Administration, or equivalent industry experience.
Experience using Procore.
Proficiency with Microsoft Office, including Word, Excel, and Project.
Experience using Google Workspace applications.
Strong organizational skills with the ability to effectively prioritize multiple projects and deadlines.
Excellent written and verbal communication skills with a professional, collaborative approach.
Ability to work independently and remain productive in a remote work environment.
Strong willingness to learn new software platforms, workflows, and AI-powered productivity tools.
Familiarity with AIA Contract Documents and Florida lien law best practices.
Current Notary License or willingness to obtain an electronic notary certification.
Willingness to travel throughout Central Florida approximately one day per week.
Valid driver's license and reliable transportation.
Experience with QuickBooks.
Bilingual in Spanish.
Experience supporting commercial site development or civil construction projects.
Experience developing operational processes, workflows, or scalable administrative systems.

Compensation
$50,000-$80,000 annually, depending on experience.

Regular travel throughout the Central Florida region for meetings, project support, site visits, and networking events.
Project Administration & Electronic Files: Create, organize, and maintain electronic project files to ensure accurate, consistent, and easily accessible documentation. Prepare and distribute project-related communications, such as emails, letters, and memos, and assist with client-facing reports.
· Meeting Coordination & Documentation: Schedule and coordinate project meetings, including managing calendar invitations, preparing agendas, actively attending project meetings, and publishing comprehensive meeting minutes.
· Procore Operations Support: Deeply support project operations within Procore, including creating purchase orders, processing supplier/vendor invoices, tracking material deliveries, following up on outstanding orders, uploading drawings, creation of RFI’s, submittals and tasks, maintaining subcontractor/supplier contact lists.
· Materials & Procurement Management: Oversee the management of materials, submittals and approvals, closely tracking long-lead items to prevent project delays.
· Scheduling & Trade Coordination: Provide critical assistance with project scheduling and coordination, including the scheduling of vendors and trade partners to maintain field momentum.
· Compliance, Permits & Inspections: Monitor regulatory compliance by tracking required permits and licenses to ensure they remain current. Assist with coordination of inspectors and Authorities Having Jurisdiction (AHJ) officials to secure project approvals and manage project inspections. Submit Notices to Owner (NTOs) through the Builder’s Notice portal for each assigned project.
· Financial Administration & Invoicing: Collect subcontractor invoices, pay applications, and lien waivers for management review. Assist with pay application creation, invoicing, and processing financial documents.
· Closeout Management: Manage the project closeout process from start to finish, ensuring all final deliverables, warranties, and documentation are properly secured and archived.
· Contract Administration: Assist with owner, subcontractor and vendor contract preparation and execution.
· Operational Process Improvement: Assist the Operations Director with establishing scalable processes, procedural checklists, and clear company deliverables.
· Marketing & Brand Initiatives: Assist the Managing Partner with coordinating and managing marketing-related vendors and initiatives. Provide hands-on assistance with marketing events and marketing deliverables.
· Corporate Culture: Actively assist with maintaining company values and goals throughout all daily internal and external interactions.
· Safety Support: Assist with the preparation and distribution of weekly toolbox talks in alignment with OSHA standards to support our commitment to safety.
